Reception and Administration Assistant
Permanent Part time – 30 hours per week (Term time only - 40 weeks per annum plus 4 weeks annual leave).
Green Bay High School is a high-achieving West Auckland Secondary School in Green Bay.
About the Role: This role combines two days on the school's front line reception desk with interesting and varied back office work. You will manage the enrolment process, cover attendance for one day and undertake other administrative functions.
This role is 30 hours per week to be undertaken across 4 days. Reception is a job share on Thursday and Friday 8.00 am - 4.00pm. Attendance is also a job share on Monday 8.00am - 4.00pm.
Key Responsibilities - Reception
- Meet and direct all visitors to reception
- Ensure guests are signed in and out in the appropriate manner
- Contact staff who have guests waiting for them
- Organise and direct runners as required
- Publish daily notices
- Ensure the reception area is maintained in a clean and uncluttered manner
- Answer the schools direct phone line and direct messages and enquiries
- Answer or redirect all main email enquiries
- Maintain the booking and recording of the school mini-van usage●All other duties normally expected of reception including but not limited to being the “eyes and ears” at the front of the school
Key Responsibilities - Other
- Enter relief rolls / New students / Changes from Deans + portal
- Adhoc distribution lists (class, group, year level)
- Staff KAMAR records
- NCEA Data Input (support and back up)
- Adhoc + regular reporting
- Transition assistance with co-ordination
- New Year 9 data management
- Enrolment management – schedule bookings
- New Staff Recruitment – logging applicants and email follow up
- Attendance duties. Caregiver follow up and reporting
- Back up MOE roll return

This role is classified under the Vulnerable Children Act (2014) and as such the appointment will be subject to satisfactory police vetting check.
